Cancellation Policy

Thank you for choosing UTOPIART CLINIC EBISU. Our clinic operates on a strict appointment-only basis to provide the highest quality of medical service to each of our patients.

 

The time you reserve is a valuable slot secured exclusively for you. Therefore, to ensure that we can provide fair opportunities for all our patients, we have established the following policy regarding cancellations and rescheduling.We sincerely ask for your understanding and cooperation.

 

Regarding Counseling Appointments

 

  • Rescheduling & Cancellations

No fee will be incurred if you contact us by the day before your appointment.

  • Fee for Same-Day Cancellation or Rescheduling

For cancellations or changes made on the day of your appointment, a fee of ¥3,300 (tax included) will be charged.

 

Regarding Aesthetic Dermatology Treatment Appointments

 

  • Rescheduling & Cancellations

No fee will be incurred if you contact us by 5:00 PM at least two (2) business days prior to your scheduled appointment date.

(e.g.) For a Wednesday appointment → by 5:00 PM on Monday.

  • Cancellation & Rescheduling Fee

For cancellations or changes made after the above deadline, a fee of ¥11,000 (tax included) will be charged.

 

Regarding Surgical Appointments

 

For surgical appointments with a procedure fee of ¥100,000 or more, a deposit of ¥100,000 is required to secure the booking.

  • Please be aware that this deposit is non-refundable for any reason.

 

Regarding No-Shows & Lateness

 

  • No-Shows

If you fail to arrive for your appointment without any notice, please note that we may decline to schedule future appointments for you.

  • Lateness on the Day of Your Appointment

If you are late, please understand that we will prioritize the next scheduled patient, and your treatment will be conducted only within the time remaining in your original appointment slot.

If you are repeatedly late by 10 minutes or more, we may decline to schedule future appointments for you.
